How switching works

Five phases. Your current biller keeps billing until enrollment moves to us, and production starts only when you approve it.

Lengths are typical and depend on your payers.

  1. Phase 1: Agreements

    Days

A Business Associate Agreement and a service agreement between your practice and Vixel Agency LLC.

    Who acts
We prepare. Your authorized signer signs.
    What comes next
    Practice setup opens.
  2. Phase 2: Practice setup

    Typically 1 to 2 weeks

You complete the setup wizard. We verify NPIs, providers and payers.

    Who acts
You enter practice details. We verify them.
    What comes next
    Shadow mode starts.
  3. Phase 3: Shadow mode

    Typically 30 to 60 days

Your current biller keeps billing. Claims also run through our checks on de-identified test data, and we compare results with what was paid or denied.

    Who acts
    Eligibility Hub runs the comparison.
    What comes next
Enrollment, once you have reviewed the results.
  4. Phase 4: Enrollment

Typically 2 to 6 weeks, payer dependent

Claims and ERA enrollment move to our clearinghouse, timed with your current biller's notice period. ERAs go to one clearinghouse at a time.

    Who acts
We file enrollments. You sign where a payer requires it.
    What comes next
Live service, after you approve production.
  5. Phase 5: Live service

    Ongoing

Full service, a monthly scorecard, and open denials from your prior biller worked to a decision.

    Who acts
Eligibility Hub, with a monthly review together.
    What comes next
    Monthly reporting continues.

HIPAA

Clear boundaries around patient data

We sign a Business Associate Agreement with every practice, and our subcontractors sign theirs before patient data reaches them.

  • The portal holds business data only

Your account, setup, billing and aggregate reports live here. No patient records, claim lists or clinical codes.

  • Patient work stays in the clinical hub

Each practice's data is isolated and encrypted in transit and at rest. Member IDs and appeal letters are also encrypted at the field level.

  • Production waits for your approval

Real transmissions start only after the agreements are signed and you approve. Test mode never sends real patient data.

Questions practices ask first

What counts as insurance collections?

Insurance payments posted by the hub from payer remittances, net of reversals. Patient payments are not included, so the 1.5% applies only to money received from payers.

What does the 1.5% include?

The managed revenue-cycle service: eligibility checks, claim scrubbing and submission, payment posting, denials and appeals, and AR follow-up, as each service becomes available for your practice. Credentialing applications are priced separately.

When are credentialing application fees charged?

Only after setup, when you choose providers and payers and authorize the charges. Each application is $99 per provider, per payer. Nothing is estimated or charged for applications at signup.

What is available now?

Eligibility and benefits verification and insurance verification requests are live. Claims, payment posting, denials and appeals, coverage checks and onboarding are built and launch after your setup steps. Prior authorization and AR follow-up are partially available. Credentialing is available now, delivered by our credentialing team.

How does switching work?

Five phases: agreements, practice setup, shadow mode, enrollment and live service. Your current biller keeps billing during shadow mode while we compare results.

Do we have to change our practice software?

No. Practices connect through the hub's API or through admin software we provide. Where we only have read access to your practice software, we do not write back to it; for dental posting we provide a verified posting worksheet instead.
